What Dark Asylum BOT may process, how that information is used, and how to request access or deletion.

Privacy depends on the features enabled

Dark Asylum BOT is being developed as a configurable Discord bot. This policy describes the categories of information its planned features may use. Not every category is collected in every server, and planned integrations may not yet be active.

01 Scope

This Privacy Policy describes data processed by the operators of Dark Asylum BOT (the “Bot”) when users interact with its Discord features or associated administration tools. Discord and other services have separate privacy policies that also apply to their platforms.

02 Information processed

Depending on the features enabled and the actions users take, information may include:

  • Discord identifiers: user IDs, server and channel IDs, roles, display names, and related permission information.
  • Feature activity: commands, reactions or interactions, leveling statistics, role selections, event RSVPs, and competition participation or results.
  • Moderation and tickets: action type, acting moderator, affected member, timestamps, ticket metadata, and, if configured, message content, transcripts, reasons, or attachments.
  • RuneScape connections: character names selected for linking, public game statistics, clan activity, XP measurements, and competition scores from enabled data sources.
  • Administrative and security information: changes made by authorized staff, security and audit records, authentication or verification metadata, and technical error records.

Collection depends on the Bot's permissions, your interactions, and administrator-controlled settings. You should not provide Discord passwords, RuneScape passwords, one-time codes, or other account secrets in chat or bot commands.

03 Sources of information

Data may come from your direct interactions with the Bot, Discord's authorized APIs, server administrators' configuration choices, or permitted RuneScape-related data sources where game integration is enabled.

04 Why information is used

Information may be processed to run requested bot features; manage roles, permissions, support and moderation workflows; calculate event and game-related scores; prevent abuse; maintain appropriate security and administrative audit records; diagnose technical failures; and meet applicable legal obligations.

Only features that are implemented and enabled should generate their related operational data. Server-specific configurations may affect which fields are retained.

05 Sharing & access

Relevant information may be visible to users in public bot outputs (such as leaderboards), to authorized server administrators and moderators in management tools, or to service providers needed to operate the Bot and website. External Discord and RuneScape services process information under their own policies.

Information may also be disclosed where required by law or needed to investigate security incidents. Administrative access should be permission-restricted according to the feature and role.

06 How long information is kept

Retention varies by feature and server configuration. Some activity and ticket logs can have configurable retention or omit message content; other records, such as competition histories, archived ticket files, administrative security logs, and local backups, may be retained longer to support the Bot's functions or security obligations.

Specific retention durations are determined by the operators' actual deployed configuration and are not yet fixed in this policy. Users may request information about the retention applicable to their records, or request deletion as described below. Some data may need to remain in backups, security records, or records required by law for a limited period.

07 Security

The Bot's design includes authorization controls for administrative actions and additional verification for sensitive dashboard operations. No technical system can be guaranteed completely secure. Do not share passwords or secret tokens with the Bot or other users.

08 Access, correction & deletion

You may ask about your information or request access, correction, unlinking of a RuneScape character, or deletion where applicable. Contact a Dark Asylum server administrator through the Discord server in which you use the Bot and identify your Discord account and the type of request. Ask the administrator to route your privacy request to the Bot operator. Do not send your password or authentication codes.

We may need to verify that the request comes from the appropriate account holder and may need to retain limited information for security, legal compliance, or other legitimate purposes. Deleting data held by the Bot does not automatically remove copies stored by Discord or third parties.

09 Minors

The Bot is intended for people eligible to use Discord and any linked third-party services under those services' applicable age requirements. The Bot is not designed to knowingly collect information from people who are ineligible to use those services.
